At HostRooster, we understand that cancellations by hosts can occasionally arise, and some situations are beyond your control. However, these cancellations can disrupt guest plans and affect confidence within our community. To address this, we’ve established a Cancellation Policy that outlines the fees and other consequences that may be imposed in certain scenarios. These measures are designed to reflect the costs and impacts of cancellations on guests, fellow hosts, and HostRooster as a whole. Nevertheless, we will exempt hosts from these fees and consequences if the cancellation is due to Extenuating Circumstances or valid reasons beyond their control.
Cancellation Fees:
Cancellation fees will apply, ranging from a minimum of $50 USD to a maximum of $1,000 USD. These fees are determined by the reservation amount and the timing of the cancellation:
- If the cancellation occurs 48 hours or less before check-in or after check-in, the fee is 50% of the reservation amount for the nights not stayed.
- If the cancellation occurs more than 48 hours but within 30 days before check-in, the fee is 25% of the reservation amount.
- If the cancellation occurs more than 30 days before check-in, the fee is 10% of the reservation amount.
The reservation amount includes the base rate, cleaning fee, and any applicable pet fees, but excludes taxes and guest fees. If the calculated cancellation fee is less than $50 USD, it will be adjusted to $50 USD. If it’s more than $1,000 USD, it will be adjusted to $1,000 USD.
Cancellation fees are generally deducted from the next payout(s) to the host, following the terms outlined in the Payments Terms of Service. In addition to fees, hosts who cancel or are deemed responsible for a cancellation won’t receive a payout for that reservation. If a payout has already been made, future payouts will be reduced accordingly.
Exceptional Circumstances:
In appropriate situations, we’ll waive the outlined fees. For instance, if a host cancels due to Extenuating Circumstances or valid reasons beyond their control, the fees may be waived. However, other consequences, like calendar blocking, might still apply.
Additional Consequences:
In conjunction with cancellation fees, other consequences can arise, such as preventing the host from accepting reservations for affected dates by blocking the calendar. Hosts who repeatedly cancel confirmed bookings without valid reasons could face further consequences as specified in our Terms of Service, including account suspension or removal of listings.
Determining Responsibility for Cancellations:
Hosts are considered responsible for cancellations when there are significant deviations from the Listing’s description at the time of booking. This might involve double-booking, substituting properties, or gross inaccuracies that disrupt guest stays (e.g., advertising amenities that aren’t available).
Other Considerations:
Promptly cancel any reservations you can’t honor and avoid encouraging guests to initiate cancellations. Falsifying statements or materials related to this policy can lead to account termination and other consequences.
This policy applies to cancellations on or after the effective date and doesn’t affect any legal rights guests or hosts might have. Changes to this policy will adhere to our Terms of Service. This policy pertains to stays but excludes Luxe or Experiences reservations.
Host Penalties for Cancellation:

While cancellations are infrequent among HostRooster hosts, it’s crucial to honor confirmed reservations whenever possible. In cases where cancellations are necessary, your responsibility is to act promptly to allow guests ample time for alternative arrangements.
Cancellation Fee:
For each confirmed reservation you cancel, a fee will be deducted from your initial payout following the cancellation. The exact fee varies based on when you accepted the reservation and how close it is to the check-in date:
- Cancellation more than 7 days before check-in: $50 deduction from your next payout.
- Cancellation less than 7 days before check-in: $100 deduction from your next payout.
